User guide: How to Set Up Restrictions for Users.

User restrictions let account managers control which customers, service items, expense accounts, and QuickBooks classes each user can select when entering time or expenses. These limits tailor dropdowns to only the allowed options, reducing mistakes and protecting sensitive data.


Where to set restrictions

  • Location: Settings → Account settings → Users and groups
  • Access point: Click the shield icon next to a user, group, employee, or vendor-without-account, then scroll to Restrictions.
  • Role required: You must be logged in as an account manager to modify restrictions.

Step-by-step setup

  1. Log in to Minute7
    • Requirement: Use your email and password; ensure you’re logged in as an account manager.
  2. Open Account settings
    • Path: Go to Settings and stay in the Account settings tab.
  3. Find users and groups
    • Action: Scroll to Users and groups, select the person or group, click the shield icon, then scroll to Restrictions.
  4. Enable and customize each limit
    • Toggle: Click “Yes” for each restriction you want to apply, then select the allowed items from the list.
    • Save: Remember to save changes after each edit.
  5. Confirm behavior
    • Result: Only the selected customers, service items, expense accounts, and classes will appear in that user’s dropdowns when creating entries.

Available restrictions

  • Limit to certain customers
    The user will only see and select the customers you allow in their entry dropdowns.
  • Limit to certain service items
    Constrains time entry service items to the allowed set.
  • Limit to certain expense entry accounts
    Narrows available expense accounts to the approved list.
  • Limit to certain QuickBooks classes
    Restricts class selection to specific QuickBooks classes.

Best practices

  • Label: Start with customers and service items
    Why: These are frequently mis-selected; limiting them prevents posting errors.
  • Label: Mirror your QuickBooks structure
    Why: Align allowed classes and accounts with your QB mapping to keep reports clean.
  • Label: Use groups for scale
    Why: Apply common restrictions to teams via groups instead of editing one-by-one.

Editing or reversing restrictions
